Job Title: Administrative Director
Reports to: Executive Director
Organization: WGASC
Position Type: Part-time - Approximately 20 hours per month
Location: Remote with occasional in-person meetings
Compensation: Commensurate with experience
Position Overview:
The Administrative Director plays a vital leadership role in ensuring the administrative, legal, and organizational compliance of WGASC. This individual will oversee the coordination and accountability of the Executive Committee, assuring adherence to nonprofit regulatory requirements in consultation with the WGASC Board of Directors, and support the development, implementation, and maintenance of WGASC policies and procedures. The Administrative Director is a key point of continuity and governance, working closely with both staff and executive committee members to support the mission and vision of WGASC.
Key Responsibilities:
Governance & Committee Management
- Coordinate the roles, responsibilities, and deliverables of the WGASC Executive Committee members.
- Facilitate collaboration among Executive Committee members and provide ongoing support in the execution of strategic initiatives.
- Prepare agendas and materials for biweekly Executive Committee meetings and annual stakeholder meetings; document and distribute meeting minutes.
Nonprofit Compliance & Administration
- Centralize all organizational compliance records, including bylaws, conflict of interest policies, and federal/state nonprofit documents.
- Maintain accurate organizational records, including meeting minutes, board resolutions, and policy changes.
Policy & Procedure Oversight
- Ensure organizational practices reflect current legal and ethical standards, including participant safety training, background checks, and non-disclosure agreements, to protect all stakeholders and support mission-driven programming.
- Partner with the Executive Committee to ensure policies are effectively communicated, reviewed, and revised as needed.
Operations & Strategic Support
- Support the planning and execution of key organizational milestones and annual initiatives.
- Serve as a resource for organizational history, operational continuity, and governance.
- Assist in onboarding new Executive Committee members by providing training on roles, policies, and expectations.
- Work collaboratively with staff, volunteers, and external partners to promote organizational transparency and sustainability.
Qualifications:
- Minimum 3–5 years of experience in nonprofit administration, board governance, or organizational compliance.
- Strong understanding of nonprofit governance practices, including 501(c)(3) compliance, board operations, and policy management.
- Exceptional organizational, written, and verbal communication skills.
- Demonstrated ability to manage multiple projects and meet deadlines independently.
- Experience with document management systems and board portals is a plus.
